Volunteer Assignments

This is a list of the currently available weekday volunteer assignments as of September 28, 2017. Please contact our office for updates and more information at (608)280-7030.

Volunteer assignments are not guaranteed or finalized until volunteer orientation. All volunteer placements are at the discretion of the Community Relations staff and must be approved by the utilizing Service supervisor.                            

PRIVACY OFFICE - OFFICE AIDE – Duties include answering phone, filing, scanning, typing letters and mail room runs. Individual needs to have basic typing skills, attention to detail. Must be comfortable with computers and MS Office proficient.
Needs: Tuesday/Wednesday/Thursday or Friday at least 4 hours

PATIENT ESCORT – Escort patients to clinics, nursing units, x-ray, etc. in wheelchair. Escort ambulatory patients in need of assistance. Provide messenger service for patient records and perform equipment transport.
Needs: Wednesday Noon-4:00pm (Any time within that timeframe); Friday 8:00am-Noon (Any time within that timeframe)

CLOTHING ROOM COORDINATOR - Maintain the supply of clothing in the patient clothing room. Sort donated clothing by size and season. Keep the clothing room neat and organized, reorganize as needed.
Needs: Flexible, 2-3 hours per week

EDUCATION SERVICE GREETER – Greet visitors to the Education Service, provide guidance or direct the appropriate staff, answer phone calls, handling or directing as appropriate. Miscellaneous administrative tasks.
Needs: Monday – Friday 7:30a.m. - 3:00p.m. (any time within that time frame)

PHARMACY AIDE - Escort patients to clinics, nursing units, x-ray, etc. in wheelchair. Escort ambulatory patients in need of assistance. Provide messenger service for patient records and perform equipment transport.

  • Able to push mail cart through hallways to loading dock.
  • Load and unload packages weighing up to 20lbs
  • Assist with packaging of mail-out prescriptions
  • Preparation of patient information packets
  • Sorting and filing of pharmacy documents
  • Stand for extended periods of time
  • Learn and remember packaging procedures & differentiate items sent via mail and via UPS
Needs: 1X/DAY Morning Shift

VET CENTER OFFICE ASSISTANT - 1) Answer telephones and take messages; 2) Greet clients and guests; 3) Respond to routine information questions; 4) Direct individuals to appropriate offices and staff; 5) Maintain appointment calendar for all staff; 6) Schedule client appointments as needed; 7) Relay information between staff and clients; 8) Maintain a relaxed and friendly atmosphere in the reception area; 9) Monitor client and guest access to center beyond the reception area; 10) Provide coffee, etc. for clients and guests; 11) Monitor staff in/out board and stay informed about where staff are when they leave the office area and when they will return; 12) Refer clients to appropriate community offices which provide services not available at the Vet Center; 13) Other administrative duties as assigned. QUALIFICATIONS: Ability to take accurate messages and to communicate clearly with staff, clients and visitors. Must complete “NO Fear” Training and Privacy Training prior to starting duties. Ability (or willingness to learn) to behave in a non-judgmental, accepting fashion toward all Vet Center visitors and clients while maintaining an appropriate professional distance interpersonally and in conversation.
Needs: Monday Noon-4pm; Tuesday Noon-4pm; Thursday Noon-4pm

SISTER ASSISTER – Sister Assisters will help women Veterans find their way around our facilities; meeting them at a designated entrance and accompanying them to appointment(s). The Sister Assister may remain in the waiting room or she may support the woman Veteran during an examination. QUALIFICATIONS:  Must be female and familiar with VA facility. Prefer Veteran and/or experience with women Veterans. Able to use a computer. Complete interview with Women’s Health Program Manager.
Needs: Monday – Saturday 6:30am-5:30pm (Any time within that timeframe)

ORDER FILLER-Logistics Offices – Office Supply order filling for logistics. This position is to help with backlog orders when needed. May be called a day or so in advance.

  • Deliveries of office supply orders to various areas in Hospital

Needs: Monday – Friday as needed (on-call) 

MASTER GARDENER – Assist with weeding and maintaining raised garden beds. These raised beds include herbs and vegetables to serve to our Nation’s Heroes while in the hospital and throughout educational cooking classes. 
Needs:  Flexible hours are offered Monday-Friday for an hour. Consistent volunteering each week is not necessary.

EMERGENCY DEPARTMENT AIDE – Assistance is needed to transport patients to clinics, nursing units, x-ray, etc. in wheelchair or on stretcher. Assist with room turnover: cleanup, setup, etc.  Other duties as assigned, but limited to general, non-patient care duties. Individual must be able to physically able to do a lot of walking and pushing of wheelchairs and stretchers, must also be able to demonstrate safe transport/escort skills.
Needs: Monday - Friday 4:00p.m. - 9:00p.m. (any time within time frame); Weekends 10:00a.m. - 8:00p.m. (any time within time frame)

FILING CLERK – Perform various administrative duties in the Prosthetics Department such as attaching invoices and packing slips to purchase orders and filing purchase orders. Purchasing Agents are responsible for ensuring all orders are filed numeric by fiscal year for audits of purchase orders.
Needs: Monday - Friday 2-4 hours per week.

FAMILY WAITING ROOM ATTENDANT – Assist family members by providing information about hospital locations (canteen, etc.), nearby facilities (restaurants, stores, etc.) and other requested information. Maintain contact with various hospital staff (OR, Cath Lab, etc.) to assist families with information on the status of their loved one.  This position involves interaction with family members, hospital staff and patients.  A calm, reassuring, friendly demeanor is a necessity.

COMMUNITY LIVING CENTER RECREATION THERAPY AIDE – Interact with Veterans residing on the Community Living Center as directed by the Recreation Therapist.  Volunteers will

  • Escort, transport and assist Veterans to and from appropriate therapeutic and recreation activities
  • Conduct group recreation activities
  • Clean and organize supplies used in therapeutic and recreation activities
  • Discusses patients’ responses, reactions and participation in therapeutic activities and recreation with recreational therapist
  • Documents interaction on the Recreation Therapy Volunteer Tracking
Needs: Monday-Friday 9:00am-4:00pm (As determined by supervisor)

INFECTION CONTROL OBSERVER/GATHERER – Basic control precautions – such as hand washing and wearing protective barriers form the cornerstone of infection prevention at the William S. Middleton VA Hospital.  While our staff is well-intentioned, the rigors of the job often lead them to forget these basic practices when they are particularly busy.  To achieve excellence in infection control behaviors among our staff, the infection control, quality improvement, and nursing departments are seeking to develop a novel volunteer-based audit-and-feedback system to support improvements in our provider’s behaviors (audit) and reporting this data back to front-line staff (feedback) can lead to major improvements in our provider’s behaviors. We are looking for a small group of dedicated volunteers who can make this new program a reality.
Needs:  Monday - Friday 8:00a.m. - 5:00p.m. (any time within time frame); Weekends 8:00a.m. - 5:00p.m. (any time within time frame)

COMMUNITY LIVING CENTER INFORMATION DESK – Information Desk Aide will provide an appropriate first impression of our hospital to the public at our Information Desk.  Volunteers will greet Veterans, staff and visitors and provide directions and assistance as needed.  An appropriate candidate must be friendly, outgoing and willing to assist others.  Excellent communication skills and professional appearance and demeanor is a necessity.  An ability to multi-task and handle interruptions and distractions is helpful. Needs: Monday 8:00a.m. - Noon (any time within time frame); Tuesday  8:00a.m. - Noon (any time within time frame); Friday 8:00a.m. - Noon (any time within time frame)

HEALTH INFORMATION MANAGEMENT SERVICE OFFICE AIDE – Assistance is needed at our 3220 Deming Way, Middleton office to help sort, fax, file, organize, open mail, photocopy and other miscellaneous administrative tasks.  An appropriate candidate should be friendly, adhere to privacy policies and have good attention to detail.
Needs: Monday - Friday 8:00a.m. - 4:00p.m. (any time within time frame)

MyHealtheVet PROGRAM ASSISTANT – Assist veterans and staff with the MyHealtheVet Program. Assist users in setting-up accounts and answer general questions.  Training in the MyHealtheVet Program will be provided.  Must be comfortable using a computer.
Needs: West Clinic Weekday mornings        

DRIVERS – Our Volunteer Transportation Network is recruiting for volunteer drivers to assist in transporting patients to and from their medical appointments at the VA. Drivers must be in good health, pass a physical through VA Employee Health, have a current driver’s license and current auto insurance.  Drivers are needed for the Madison-area as well as from a variety of surrounding areas to assist with our community transportation programs located in Rockford, IL; Freeport, IL; Columbia County; Grant County; Jefferson County; and Rock County.
Needs: Monday - Friday. Hours needed vary and depend on the number of patients being transported as well as their appointment times. An average day might be about 8 hours and start around 7:30 a.m. for local drivers. 

QUALITY IMPROVEMENT/RESEARCH AIDE – This is a quality improvement project to assist health care providers in the primary care clinic to identify individual challenges faced by veterans and to incorporate those challenges, into plans of care to improve the quality of care for veterans.

  • Set up/tear down and sit at QI project recruitment table in primary care clinics
  • Recruit veterans to participate in QI project
  • Give audio recorders for veterans who agree to record their visit; get back recorder at the end of their visit
  • Fill out paper daily log with recruitment details
  • Attention to detail
  • Must be able to maintain accurate record keeping
